Executive Committee

Chairman – Duties are to manage the day-to day operations of all aspects of the club, liaise and negotiate with TLF, Chair and attend meetings of both the Executive and General committees.

Vice Chairman – Assist the Chairman with his/her duties and act in his/her stead when absent, attend meetings of both the Executive and General committees.

Secretary – Provide the Chairman with constitutional guidance, record and distribute minutes of Exec and General committees, manage the general administration of the club, arrange and attend meetings of both the Executive and General committees.

Treasurer (including Membership Secretary) – Manage the finances of the club not undertaken by TLF, liaise with TLF in respect of financial matters, provide advice to the committees in respect of the financial standing of the club, manage the membership lists and all individual and Club ASA and league registrations, attend meetings of both the

Executive and General committees.

General Committee

Senior Gala Secretary – To advise swimmers if criteria met and to enter swimmers for all licensed galas on the Club Calendar, including County Championships, South East ASA Championships, National Championships. Assist the Gala Secretary. To liaise with Club Coaches and the Senior Team Manager in respect of allocation of Gala poolside assistance and Coaches pass requirements.

Gala Secretary – To advise swimmers if criteria met and to enter swimmers for all minor galas on the Club Calendar, including East Invicta Championships, Dover White Cliffs Graded Gala. Manage entries for Club Championships. Assist the Senior Gala Secretary. To liaise with Club Coaches and the Senior Team Manager in respect of allocation of Gala poolside assistance and Coaches pass requirements.

Club Championship/Internal Gala Secretary – to coordinate the organisation and management of all internal Galas and the annual club Championships.

Senior Team Manager – to assist the Club Coaches if required with team selection for league galas and relay teams, to manage swimmers on poolside at Galas as required by the Club Coaches, to provide guidance and assistance to all others fulfilling the role of Team Manager. To liaise with the Gala Secretaries/ Club Coaches to determine poolside assistance requirement and allocation. To record and maintain a list of swimmers personal best times and update and maintain Club records as necessary.

Disability Liaison/Welfare Officer - manage the completion of the CRB check forms, attend Child Protection workshops, promote ASA Child Protection Policy and Procedure and Swimline, To liaise with the County Disability Liaison Officer, attend a disability awareness course, develop links with local disability swimming clubs and disability sports organisations, promote positively opportunities for disabled people.
Schools Liaison Officer- to form links with local schools, to promote the Club and the opportunities and benefits of swimming to local schools.

Competitive Club Parents Representative – To be the means of communication between parents and the Club committee, to take issues or positive comments raised by parents to the committee and feed back relevant comments actions and news from the committee to the parents.

Sunday Club Parents Representative - To be the means of communication between parents and the Club committee, to take issues or positive comments raised by parents to the committee and feed back relevant comments actions and news from the committee to the parents.

Swim 21 Coordinator - To liaise with the ASA Regional Development Officer, organise and oversee the audit and action planning stages of the Swim 21 process, to keep the Club updated on their progress through the Swim 21 process

Public Relations Officer – To promote and publicise, in a positive way all aspects of the Club to media and other relevant bodies, to issue press releases and deal with all enquiries resulting from same, execute damage limitation procedures (with consultation) in the wake of adverse internal or external publicity.

Volunteer and Officials Coordinator – To coordinate a list of all voluntary helpers and officials within the club and promote the need for assistance when required, to promote the ongoing need for Officials within the club, offer encouragement to persons to become qualified and liaise with County Officials coordinator.

Social Secretary – to organise and coordinate the organisation of all non swimming social events, to organise and coordinate fund raising activities within the Club.

Merchandise Representative – to organise and oversee all activities and aspects of the management of the Club Shop, to arrange specific merchandise as required, to liaise with the treasurer in respect of the financial management of the shop.

East Invicta/Kent County Representative – to represent the Club at the committee meetings of both the East Invicta and Kent County ASA, to provide feedback to the club committee from these meetings and pass comments from the Club to these meetings as required. This role may be filled by two persons.

Other Positions

Team Managers – to provide poolside assistance to the Coaches at Galas, duties will depend upon requirement of Coaches and will entail ensuring swimmers are sent to Marshalling area at the appropriate time, for Heats, Semi finals, Finals and Medal presentations, recording of times and split times, supervising swimmers in warm up and warm down. Ensuring good conduct of swimmers on poolside and dealing with their questions/issues and offering appropriate encouragement.

Website Administrator – to administer, update and oversee the Club website

Trophy Warden – to manage all the Clubs trophies and any received from Galas and ensure their timely return, to organise and arrange medals/awards/trophy engraving resulting from Club Championships or other Galas, to provide the treasurer with costs for same.
